Expectations & Warranties
Thank you for choosing Urban Industrial Design to build your custom furniture and wood countertops! Our craftsmen take extreme pride in what they build, and we look forward to bringing your vision to life.
By placing a deposit with Urban Industrial Design, you agree to the following terms and conditions, which apply to all custom solid wood furniture and countertop products and services we provide. Please review these terms carefully before proceeding with your order, as it is important for our clients to understand our building process and the unique qualities of incorporating real wood into their home or office.
Expectations of Real Wood
Environment Humidity is crucial for preserving wood furniture, as it is sensitive to moisture changes. High humidity can cause wood to swell or warp, while low humidity can lead to cracking and shrinking. Maintaining a balanced humidity level of 40-45% prevents these issues, preserving the wood's shape, strength, and finish, and extending the furniture's lifespan. All products built by UID are designed for year-round indoor climate-controlled use only. UID is not liable for damage caused by extreme highs/lows in humidity, temperature or over exposure to moisture. Avoid proximity to wood burning stoves, heat/ac ducts or air blowing directly onto the surface.
Top vs. Bottom All wood has an "A side" and a "B side," referring to the two distinct surfaces of the tabletop. The A side is the finished, polished, or more aesthetically pleasing side, designed to be the top-facing surface visible during use. The "B side," on the other hand, is the underside of the table, which may be less refined and might feature rougher wood, visible joints, knots and bark inclusions. We take all necessary steps to stabilize the wood as needed, but we do not perfect the underside of the table as we do the top. Imperfections on the B side of the table are expected and should be embraced as part of the handmade character of your piece.
Wood Grain Real wood grain is unique, with variations in texture, grain pattern and color from one board to the next. These natural variations, including knots and imperfections, give each piece of wood its own character and beauty. We make every effort to give your furniture or countertop the best possible layout with the available materials.
Fillers Part of the finishing process is addressing any knots, checks or bark inclusions with various types of resins, glues and fillers. Our craftsmen choose specific products that will yield the best possible combination between strength and ascetics. Upon delivery your piece will be perfectly smooth. Over time these fillers may raise or lower slightly as the wood around it expands and contracts. This is common and should be embraced as character of the piece over time.
Scratches Wood surfaces should always be treated with care to avoid dents and staining. Unlike stone, wood is more prone to scratches which typically come from sliding objects along the surface. Place mats and coasters are suggested, along with prompt cleanup of spills. Avoid clay/ceramic/unglazed pottery and other rough items sitting or sliding directly on the surface.
Cutting Our Timberglass spray finish is highly durable, but it is not meant for cutting directly on the surface. A cutting board is required for direct food prep if you have our Timberglass finish. Only items finished with our food grand mineral oil can be used as a direct cutting surface
UV Light - Direct UV light can cause damage to wood countertops and tables over time. Prolonged exposure to sunlight can lead to fading, discoloration, and uneven staining of the wood. The ultraviolet (UV) rays break down the wood's natural pigments, resulting in a bleached, worn-out appearance. This damage may be more noticeable on lighter woods, as the color changes more quickly. Additionally, the heat from direct sunlight can cause the wood to dry out, making it more prone to warping, cracking, or splitting. To protect wood surfaces, it's important to limit direct sun exposure and use UV-blocking window treatments. UID is not liable for issues arising from over exposure to UV light.
Care Our tables and countertops are finished with our own Timberglass Wood Finish. Everything is completely sealed on all sides, waterproof and food contact safe. Use dish soap and water to clean up any spills, typically a wet paper towel will work just fine. A mild multi-surface cleaner is acceptable as well. Furniture polish is not suggested or required. Avoid using microfiber cloths for cleaning. If the dish is too hot to hold with your hand, it cannot be placed directly on the wood surface and a trivet is required
Terms and Conditions
Overview All furniture and countertop pieces are custom-made based on customer specifications, including size, design, and wood type. Once the design and pricing are confirmed and the deposit is received, the order is considered final, and an estimated production timeframe is given.
Pricing and Payment Prices for custom furniture are provided in the initial quote and are subject to change based on final design and material selection. All estimates are good for a term of 30 days. If your estimate is outside of the 30-day window the project will need to be re-quoted. A deposit of 50% is required upon order confirmation. No materials will be ordered, and no production will start on the project without a 50% deposit. The final balance is to be processed prior to or at the time of delivery. Payments must be made via cash, check or our secure ACH link sent through QuickBooks. Credit cards are accepted upon request for an additional fee of 3%
Production Time The production time for custom orders varies depending on the complexity of the design and availability of materials. An estimated timeline will be provided at the time of order. UID is not responsible for delays caused by factors beyond our control, such as material shortages, shipping delays, or unforeseen circumstances. Our estimated timeline starts upon receipt of deposit and not at the time that the original estimate was provided.
Material Selection and Customization Wood is a natural material, and variations in grain, color, and texture are to be expected. We cannot guarantee exact matches to samples, as wood grains and finishes may vary. Any natural imperfections, such as knots, insect holes, bark inclusions or minor checks, are part of the wood's character and are not considered defects. UID makes every effort to provide the best possible layout based on the available material.
Samples UID maintains ownership of any sample materials provided to client and all intellectual property, including but not limited to, samples, CAD drawings, design documentation etc. Wood, metal, glass, other raw material and finish samples are intended to be representative of finish. Due to use of natural materials, Client agrees that some variation is assumed and accepted in the final finished piece.
Furniture Dimensions All dimensions for furniture are accurate within one ½”. The manufacturing process of real wood furniture has a lot of variables. For example, sometimes a glue joint needs to be cut multiple times to achieve a perfect line, resulting in a reduction in finished width. Live edge tables have a natural variation in width, UID will take the overall average width for the final table size.
Countertop Dimensions All dimensions for countertops are taken onsite during our templating process. Our standard overhang for countertops is 1 1/4” from the cabinet face frame and ¾” on all sides without drawers / cabinets, unless otherwise specified. Our standard overhang for under mount or apron sinks is 1/8th. Due to the nature of cabinetry, the dimensions can vary as cabinets are not always perfectly straight.
Countertop Templating The process begins with a site visit by our skilled team to take precise measurements of your space. During the templating process, we create a physical template to accurately replicate the dimensions and layout of your countertop area. This allows us to account for any imperfections in the room's structure and ensures the best possible fit. We cannot schedule the template for your space until your cabinetry is 100% installed and installation is finalized. This includes but is not limited to trim panels, sheetrock work, trim work and any other areas that the countertop will be touching. Removal of your old countertop is required prior to templating, UID does not remove old countertops. Once the template is complete, no changes can be made in any way that affect the fitment of the countertop. If changes are made, a re-template fee will be issues at a rate of $100 per man hour, including drive time. If there is a sink and/or faucet being cut into the countertop, we require they be onsite during template, UID will take them back to our shop for final fitment. UID does not provide any plumbing or electrical services. We do not install sinks or faucets.
Countertop Installation Once your countertops have been fabricated and fully finished, we will schedule the installation date for your project. During installation, we will properly secure the countertops after confirming proper fitment. As our countertops are fully sealed on all sides, UID does not provide a caulk line where the countertop meets the wall. Since the countertops are handmade, we ensure a tight fit with no more than a 1/16th inch gap against any wall, trim panel, or cabinetry. All countertops will be installed in a professional manner, and final cleanup will be provided to ensure your space is left spotless.
Delivery and Shipping UID provides a white glove in home service to deliver and/or install your furniture and countertops. Your delivery fee will be assessed based on your geographic location and complexity of the delivery/install. The customer is responsible for ensuring the delivery area is accessible and free of obstacles. We do not schedule delivery until the finish process has been finalized. Delivery will be scheduled once we have fully inspected the finished product for any blemishes or imperfections. Local Delivery must be accepted within 7-days of the completion of the furniture pieces, unless otherwise arranged. Delivery not accepted within 7-days, unless otherwise arranged with UID, will be subject to $25/day storage fee.
Pickup If the client wishes to pickup their finished furniture or countertop and appointment is required. Client is responsible for bringing their own packing materials/blankets and securing their load properly. UID is not liable for any damage caused during transport done by the client. UID is not responsible for any issues arising from exposure to direct weather or UV light during transport.
Freight In the event that we will be shipping your furniture, we use a trusted network of LTL carries to transport your items. We custom build a wood crate to ensure proper protection for transport. This LTL service will come with liftgate at delivery but it a cub site delivery only. Unless otherwise arranged, the crate will be left in your driveway and the client is responsible for moving the item into their home and disposal of the crate. Delivery times may vary. The Client is responsible for cost of crate building and shipping.
Inspection and Acceptance Upon delivery or pickup, the customer is required to inspect the furniture for any damage or defects. Any issues must be reported to UID at the time of delivery, install or pickup. Failure to do so may result in the forfeiture of any warranty or repair claims and may incur fees if an additional trip is required to address concerns. In the event your items were shipped and there is visible damage to the crate affecting the items inside, deny delivery and contact UID.
Cancellation If you wish to cancel your order before production has started, you may do so for a full refund of any deposit paid, minus a 10% administrative fee. If material was ordered specifically for your project, the cost of that material will be deducted from the deposit and UID will take ownership of material. Once production has begun, cancellations are not accepted, and the deposit will be forfeited. Any modifications to the order after production has started may incur additional charges or may not be possible
Limitation of Liability UID is not responsible for any indirect, incidental, or consequential damages arising from the use of our furniture. Our liability is limited to the production and cost of the product as applicable. In no event shall UID be liable to Client or any third party for any loss of use, revenue or profit, or for any consequential, indirect, incidental, special, exemplary, or punitive damages.
Privacy and Confidentiality We respect your privacy and will not share your personal information with third parties without your consent, except as required by law. All customer designs and specifications are treated with confidentiality.
Governing Law These terms and conditions are governed by and construed in accordance with the laws of Albany County, New York. Any disputes arising under or in connection with these terms shall be resolved in the courts of Albany County, New York
Warranty
Introduction: UID is committed to delivering high-quality, custom-made solid wood furniture. We stand behind the craftsmanship and materials used in our products. This warranty provides coverage for manufacturing defects, ensuring peace of mind and confidence in your purchase.
Warranty Period: The warranty period for solid wood furniture and countertops is 1 year from the date of delivery. The coverage period begins on the date the product is received by the customer.
Warranty Coverage: This warranty covers defects in materials and workmanship for all custom solid wood furniture pieces manufactured by UID. Specifically, this warranty includes:
- Joint failures or separation of a glue line caused by craftsmanship errors.
- Defects in finishes, such as bubbling, peeling, or cracking that result from manufacturing flaws.
- Structural issues resulting from improper construction or use of faulty materials.
Exclusions: This warranty does not cover the following:
- Warping, cracking, splitting or damage from exposure to extreme temperatures, humidity, or UV light.
- Damage caused by misuse, neglect, or improper care.
- Normal wear and tear, including fading, scratching, or denting of the wood surface or finish.
- Changes in wood color, grain, or finish over time due to natural aging or environmental factors.
- Damages caused by client during transport, handling, or assembly.
- Any alterations or repairs made by anyone other than UID or an authorized representative.
- Client who wishes to install their own countertops will void their warranty. Table bases not provided by UID also voids the warranty of the table they are attached too.
Warranty Claim Process: To file a warranty claim, the customer must:
Notify UID in writing within 3 days of discovering the defect.
Provide a description of the issue and, if possible, photos showing the defect.
Retain proof of purchase, including the original order number and date of delivery.
Remedies: Upon verification of a valid warranty claim, UID will:
- Repair the defective item at no cost to the customer.
- Replace the item if repair is not feasible or if the defect cannot be corrected.
- Offer a partial refund or store credit if neither repair nor replacement is possible.
Limitations: The warranty is limited to the repair, replacement, or refund of the defective item, at UID’s discretion. The customer may be responsible for shipping or handling costs associated with the return or replacement of defective products. In no event shall UID be liable for incidental, consequential, or punitive damages arising from any defect or failure to fulfill this warranty.
Care and Maintenance: To maintain the validity of this warranty, customers are required to follow proper care guidelines for their solid wood furniture – Please reference “expectations of real wood” section above.
Transferability: This warranty is valid only for the original purchaser and is not transferable to subsequent owners of the furniture or countertops.
